Procurement Operations Buyer - Helpdesk Analyst

Description

The company runs a Global Capability Centre in Kraków that supports global operations and employee services across finance, procurement, HR, Data Analytics and Service Management, and it is a key hub for operational efficiency and global business processes.

The role is a procurement operations helpdesk position. You will answer internal user requests and procurement queries, handle supplier questions, and give ad hoc help with sourcing, contracting and procurement systems.

You will resolve queries quickly and accurately, keep clear records of issues and fixes, and work with stakeholders to meet compliance and service standards. Troubleshooting procurement systems and suggesting changes that improve efficiency and user experience are a core part of the job.

The team works in a fast-paced setting and values a detail-focused person who enjoys solving problems and cares about service quality.

Responsibilities

• Handle internal user helpdesk requests and resolve procurement queries promptly and accurately.
• Answer supplier inquiries and help resolve issues with procurement processes and systems.
• Support sourcing, contracting and procurement system issues as needed.
• Find and recommend process changes that improve efficiency, effectiveness and customer service.
• Keep accurate records of queries, resolutions and actions so the work stays compliant and audit ready.
• Work with suppliers, finance and procurement teams to resolve issues and keep service quality high.
• Help fix technical problems in procurement platforms and escalate complex ones when needed.
• Make sure procurement policies, procedures and audit requirements are followed in all activities.
• Give responsive, high-quality support to stakeholders so their procurement experience is positive.

Requirements

• More than 3 years of experience in procurement or supply chain management, covering indirect and direct categories.
• Experience handling user queries and supplier issues in a shared services environment.
• Experience in aerospace, defence or another complex manufacturing industry.
• Understanding of procurement policies, governance frameworks and compliance assessments.
• Working knowledge of SAP, Ivalua and Coupa.
• Proven ability to deliver excellent customer service and influence others.
• A proven record of delivering business results and meeting objectives.
• Interest in continuous improvement and quality methods such as Lean and Six Sigma.

Hybrid work: 2 days in the office and 3 days from home.
