Description

The company builds a search AI platform that helps people find answers quickly across all their data, at scale. Over 50% of the Fortune 500 use it.

You will join the Global Growth and Experiences Marketing (GGEM) team as a Marketing Strategy & Planning Specialist, reporting to the Head of Strategy & Planning, who is the Chief of Staff. You will work closely with the VP and senior leaders on the team.

This role connects the team. You will help manage the global growth and experiential marketing budget and special projects, run programs that shape team culture such as the all-hands, and build ties across the department so people work better together.

This is an early-career position for someone who is organized, persistent, trusted with sensitive information, and enjoys working with people and communicating. You will learn how a global marketing organization plans, spends, and delivers, and help make it a good place to work along the way.

Responsibilities

  • Help oversee the global growth and experiential marketing budget by tracking spend against plan, reconciling actuals, and flagging variances early.
  • Work with Finance and regional marketing teams on forecasting, accruals, and quarterly budget reviews.
  • Help teams follow finance best practices and standards: monitor compliance, chase gaps until they close, and explain the process when needed.
  • Use finance and planning tools to track budgets, spend, and approvals.
  • Create clear budget summaries and trackers so leaders can see current status and which items need a decision.
  • Own the team culture programs, including planning and running the all-hands from agenda through follow-up.
  • Organize moments that bring a distributed global team together, and keep them fresh by collecting feedback and testing new formats.
  • Build strong relationships across the department, becoming a familiar and approachable contact for teams in every region and function.
  • Help people collaborate by introducing the right people, easing friction, and making cross-team work simpler.
  • Coordinate special projects for the group and the VP from kickoff to completion: set timelines, assign owners, track dependencies, and follow up.
  • Keep projects organized with clear plans, status updates, and written next steps.
  • Identify risks and gaps early, decide what to escalate and to whom, and bring a recommended path forward.
  • Write concise, tailored emails, updates, and presentations for audiences from regional teams to senior leaders.
  • Prepare materials for business reviews, QBRs, and leadership meetings.
  • Handle confidential business and financial information, including budget, headcount, and strategic planning, with discretion.
  • Help run the team's operating rhythm: planning calendars, recurring reviews, and process documentation.
  • Learn the finance, planning, and project management tools and suggest ways to simplify and speed up processes.

Requirements

  • Experience in project coordination, program management, marketing operations, finance operations, event or internal communications, or a similar field. Internships and early-career work count.
  • Careful with details: you double-check numbers, dates, and next steps.
  • Solid project management: you handle several workstreams at once, keep them organized, and see them through.
  • Persistent: you follow up politely and consistently until work is done, even after several attempts.
  • Sound judgment: you know when to handle something yourself and when to escalate, and you bring context and a recommendation when you escalate.
  • Discreet with confidential information such as budget, headcount, and strategic planning.
  • Comfortable with numbers and budgets, working in Excel or Google Sheets, and willing to learn financial processes like forecasting and variance tracking.
  • Clear in writing and speaking: you write crisp emails, build polished presentations, and adapt your message to your audience.
  • Warm and good with people: you enjoy building relationships, connect people naturally, and hold others accountable respectfully and clearly.
  • Quick to learn new software.
  • Collaborative and proactive, and comfortable giving and receiving feedback.
  • Located in Canada.
  • Bonus: experience planning team events, all-hands, or internal programs.
  • Bonus: experience at a B2B or SaaS company.
  • Bonus: exposure to marketing, field marketing, or events.
  • Bonus: familiarity with G-Suite, Zoom, Slack, Workday Strategic Sourcing, Allocadia, and common project management tools.
