Description

The company is running a company-wide File Management project to simplify how colleagues store, organise, find and share files and information.

The project supports a move from existing shared drives to Microsoft 365 and Box, and helps teams build clearer, more consistent ways of working.

The role is a 6-month fixed-term contract based in London, in the Transformation team.

You will help teams understand how files are managed today, spot opportunities to improve, and prepare for a successful migration.

Responsibilities

  • Lead the business analysis work supporting discovery and implementation of the File Management project, working within Group Operations with colleagues across Transformation, Strategic Projects and Technology.
  • Work with the Project Manager, Continuous Improvement, Communications and Digital Training colleagues to support teams through discovery, decisions, migration and adoption.
  • Analyse file storage data for volumes, usage, age, duplication and other patterns, and turn the findings into clear insights and recommendations.
  • Lead discovery with teams across the business through workshops and interviews, covering file structures, ownership, processes and ways of working.
  • Find ways to simplify file management, cut duplication, and improve how information is organised, accessed and shared.
  • Examine business processes, specialist file types, applications and other dependencies that could affect migration, working closely with Technology colleagues.
  • Help teams set practical future ways of working, including file structures, permissions, ownership, naming conventions and sharing arrangements.
  • Turn discovery findings into recommendations on what to keep, archive, delete or migrate, and assess how ready and complex each business area is.
  • Produce evidence-based analysis to inform prioritisation and a phased rollout across the organisation.
  • Work across Transformation, Strategic Projects and Technology to support implementation and help new ways of working take hold.

Requirements

  • You have significant experience as a Business Analyst or in a similar analytical or change role, including leading analysis on complex initiatives.
  • You analyse large or complex datasets, spot patterns, and turn them into clear recommendations.
  • You have led business process discovery and analysis across several teams or stakeholder groups.
  • You have planned and run workshops and stakeholder interviews that bring together different perspectives.
  • You have mapped and documented current and future processes or ways of working.
  • You combine quantitative data with qualitative insight to build an evidence-based view of business needs and opportunities.
  • You have worked on technology-enabled change and collaborated effectively with Technology and delivery teams.
  • You are comfortable working with ambiguity, challenging existing practices constructively, and helping stakeholders reach practical decisions.
  • You communicate well in writing and verbally, and can make complex information clear to different audiences.
  • Desirable: experience with file management, information management, data migration or similar transformation projects.
  • Desirable: familiarity with Microsoft 365, SharePoint, Teams, OneDrive or Box.
  • Desirable: knowledge of Continuous Improvement principles and techniques, such as Lean or Six Sigma.
  • Desirable: experience working in publishing, media or another complex organisation.
