Description

The company is a global agency that delivers healthcare communications and marketing services, including to leading pharmaceutical and biotech clients. It combines scientific depth, human-centred creativity, and AI-driven insights.

The company is hiring a Project Manager for its growing Medical Affairs team. The role suits both experienced professionals and people early in their careers who care about healthcare and connection.

You will run medical affairs projects such as slide decks, print projects, congress and advisory board materials, scientific communications, and smaller digital initiatives. You are the main contact across internal and external teams, and you help keep work on time, on budget, and aligned with client expectations.

No two days look the same. You bring in the right people at the right moment, align priorities with the account team, and flag bottlenecks early with proposed fixes.

Responsibilities

  • Set clear expectations for internal teams and vendors so work flows smoothly across the agency.
  • Keep projects on track and milestones met by working with account, scientific/medical, editorial, creative, studio, print production, strategic planning, information UX, technology, and programming teams.
  • Plan, schedule, and monitor work against timeline, budget, and quality targets, following the relevant guidelines.
  • Work with finance and accounting teams on revenue recognition and invoicing.
  • Join client and stakeholder meetings when needed, answering questions and giving status and timeline updates.
  • Identify project risks and plan how to reduce them.
  • Help write service or departmental standard operating procedures.
  • Send deliverables to the right core team members for review and sign-off through the electronic project routing system.
  • Secure sign-off before key milestones: core team review, medical/scientific review, client review, vendor handoff, and final release.
  • Build detailed work plans, schedules, and status reports so internal teams, clients, and external partners stay aligned for the whole project life cycle.
  • Act as day-to-day project lead, helping define scope and objectives and motivating cross-functional teams to deliver quality work on time and on budget.
  • Manage deliverables from concept to delivery, making sure the right departments, reviews, approvals, and handoffs take place at each stage.
  • Uphold agency process and manage quality assurance for all projects.

Requirements

  • You connect with the company's values: Best Together, Impact-Obsessed, Excellence Expected, Evolve Always, and Accountability with an 'I'.
  • You adapt and stay resilient, and you accept that your scope, responsibilities, and focus may shift as the company grows.
  • You are proactive, driven, and resourceful, with strong prioritization skills and an interest in working with data.
  • You are organized, self-directed, able to work independently, and comfortable with tight deadlines.
  • You have 3+ years of project or program management experience, or relevant experience.
  • You have 2+ years of budget management experience.
  • You understand industry processes, including medical, legal, regulatory, and client review.
  • You have worked on teams focused on medical affairs, scientific communications, medical education, or other non-promotional healthcare communications.
  • You have led small to medium projects from conception through completion.
  • You have worked cross-functionally with medical/scientific, editorial, account, creative, and project management partners to deliver high-quality products and services.
  • You can build timelines and track progress against schedules.
  • You communicate clearly and concisely with technical and non-technical audiences across business areas, with strong written, verbal, presentation, and interpersonal skills.
