Description

The company produces music festivals and live events worldwide, combining music, lighting, pyrotechnics, sound design, art installations, theatrical performers and special effects.

The Creative Project Manager supports the Design department in Calabasas and reports to the Sr. Director of Media Operations, working closely with the Senior Manager, Art Direction.

The role suits someone who has run creative projects from brief to final delivery in a fast-moving, high-volume design setting, and who has worked with executives, department leads and brand stakeholders to set priorities.

Responsibilities

  • Run the day-to-day flow of Design department work, covering prioritization, scheduling, and delivery.
  • Work with the Sr. Director of Media Operations and the Senior Manager, Art Direction to judge team capacity, assign projects, balance workload, and spot where more resources are needed.
  • Allocate projects across in-house designers and outside creative partners according to workload, skills, complexity, and priority.
  • Align executives, department directors, marketing teams, and brand stakeholders on creative needs, timelines, priorities, and delivery expectations.
  • Lead project intake, kickoff meetings, planning, backward-scheduled timelines, task assignment, and stakeholder updates.
  • Make sure high-priority work, such as key visuals, key art packages, marketing campaigns, and launch materials, is scoped, staffed, and shipped on time.
  • Track status, risks, changing priorities, dependencies, approvals, and resource limits.
  • Spot problems that could hit timelines, quality, or workload early, and recommend fixes or changes to Design leadership.
  • Manage workflow in Asana, including task setup, ownership, due dates, dependencies, reporting, and keeping the board clean.
  • Coordinate feedback, review rounds, revisions, sign-offs, and final asset delivery with all stakeholders.
  • Keep accurate records of project documents, timelines, briefs, status updates, and final asset archives.
  • Help run QA and delivery-readiness checks so materials are complete, accurate, and approved before release.
  • Refine department processes for intake, prioritization, assignments, feedback, approvals, file organization, and reporting.
  • Work evenings, weekends, and travel when needed to meet business and event deadlines, and attend company events.

Requirements

  • 5+ years in creative project management, creative operations, integrated production, traffic management, or design operations.
  • Experience at a creative agency, entertainment company, live-events organization, or high-volume in-house creative team.
  • Proven record of handling many creative projects and large asset volumes on overlapping timelines.
  • Experience managing creative team workload, staffing, resourcing, assignments, and delivery schedules.
  • Experience working directly with senior leaders, department heads, marketing teams, and brand stakeholders.
  • Solid understanding of creative development across design, brand, key art, campaigns, print, digital, social, web, video, and production.
  • Advanced skill in Asana or a similar project management platform.
  • Strong organization, communication, prioritization, and stakeholder management skills.
  • Able to stay calm, organized, and solution-focused under pressure and tight deadlines.
  • Proficient in Google Workspace, Microsoft Office, Dropbox, Mac, and PC.
  • Passion for music, live events, and culture is strongly preferred.
