Description

The company builds AI and machine learning products that address healthcare staffing and administrative load, using conversational AI and a patented voice biomarker technology. It is based in Silicon Valley and backed by well-known venture capital firms.

This is a first-hire Recruiting Coordinator role, and it goes well beyond scheduling. You will join as an early member of the Talent function and build recruiting operations from the start, working alongside the Head of Talent.

You will run the hiring process day to day and shape the candidate experience from first contact through to the final decision, including for candidates who do not join. You will report to the Head of Talent, help set hiring strategy, and work with founders, hiring managers, and interviewers to keep hiring fast, organized, and considered.

The role offers real ownership, early influence on how the team works, and the chance to build something durable.

Based in the San Francisco office, on a hybrid schedule.

Responsibilities

  • Set up recruiting operations from scratch, working with the Head of Talent on processes, tooling, and how hiring scales.
  • Build out the talent tech stack in Ashby: workflows, scheduling automation, candidate messaging, and pipeline reports.
  • Assess, configure, and run sourcing tools and their connections to Ashby.
  • Write the playbooks, templates, and documentation the team will rely on as it grows.
  • Coordinate interviews from start to finish across multi-stage loops, different time zones, and virtual and in-person formats, including founder and executive interviews.
  • Work with hiring managers to plan interview loops, build scorecards, and push teams to give fast feedback and decisions.
  • Host candidates on site so each visit runs smoothly and feels welcoming.
  • Step in when schedules collapse or priorities change, and keep the process moving.
  • Serve as the main contact for candidates, keeping them informed and prepared at each stage.
  • Make the candidate experience clear, responsive, and personal.
  • Audit and update job listings on LinkedIn, the careers page, and other channels so they are accurate, consistent, and match the company's brand.
  • Help launch and run interview training, referral campaigns, sourcing events, and onboarding preparation.
  • Analyze pipeline data and report findings that improve hiring speed and quality.

Requirements

  • At least 2 years in recruiting coordination, talent operations, or a similar role at a technology company.
  • Experience at an early-stage startup, or comfort working without clear structure, with a preference for building processes over following them.
  • A builder's approach: you treat scheduling as a workflow problem and automate manual steps to remove friction.
  • Strong organization, with the ability to prioritize and carry out many urgent tasks at the same time.
  • Close attention to detail. Time zone errors, broken links, and dropped handoffs are things you catch.
  • A real commitment to giving candidates an excellent experience.
  • Strong written and spoken communication, and the confidence to work with founders and senior leaders.
  • Working knowledge of LinkedIn and other job boards for auditing, improving, and updating listings.
  • Familiarity with sourcing platforms such as LinkedIn Recruiter, Gem, SeekOut, or Juicebox, and how they connect to an applicant tracking system.
  • Nice to have: experience as an early recruiter at a venture-backed startup.
  • Nice to have: experience with modern applicant tracking systems such as Ashby, Greenhouse, or Lever.
  • Nice to have: experience designing recruiting and coordination processes from the ground up, such as interview training, scheduling practices, or candidate experience design.
  • Nice to have: experience building dashboards, workflow automations, or agentic tools for recruiting teams.
  • Nice to have: interest in AI and healthcare.
