Description

The company is hiring an experienced, execution-focused Sr. Business Transformation Specialist for its US Proxy Business Transformation & Special Projects team.

The role mixes hands-on transformation, process improvement, analysis and implementation work with disciplined project management.

You will run cross-functional projects from start to finish: turning a business goal or problem into a plan, bringing stakeholders together, managing risks and dependencies, and driving delivery with limited day-to-day guidance.

Work may range from small operational fixes to large initiatives with several workstreams, involving business, operations, technology, product, risk, clients, vendors and other enterprise teams.

The US Proxy and Corporate Actions area is changing due to technology upgrades, automation, regulation and pressure for scale and efficiency. The role turns business needs into workable initiatives and measurable gains, and suits someone who wants more ownership than a traditional project manager role.

Responsibilities

  • Map current-state processes, workflows, systems, controls and cross-team dependencies.
  • Lead stakeholder discussions that surface pain points, inefficiencies, risks and improvement opportunities.
  • Help design practical future-state processes that improve efficiency, scalability, controls and client experience.
  • Look for chances to standardize, simplify, automate and redesign workflows.
  • Gather and write up business requirements, flagging gaps, dependencies and open questions.
  • Carry out analysis for impact assessments, business cases, implementation approaches and decisions.
  • Build and maintain project plans, milestone trackers, action and decision logs, risk and issue registers and other project documents.
  • Monitor progress against timelines and act early on risks, issues, dependencies, scope changes and resource limits.
  • Escalate with clear context, business impact, options and a recommended next step.
  • Align cross-functional stakeholders and keep work moving in a matrixed organization.
  • Run working sessions that end with clear decisions, owners, actions and next steps.
  • Write concise project updates and executive-level material on health, progress, risks and the decisions needed.
  • Lead or coordinate implementation and readiness across affected teams.
  • Coordinate requirements, testing, process change, operational readiness, communications, training and deployment where relevant.
  • Create implementation plans, readiness criteria and go-live approaches where no established process exists.
  • Resolve implementation risks and dependencies, and support stabilization after launch and handover to ongoing business owners.
  • Lead several cross-functional projects independently from initiation through implementation and stabilization.
  • Turn business objectives into structured plans with clear scope, deliverables, milestones, dependencies, owners and timelines.
  • Set governance, working cadence and project structure to fit each initiative's size and complexity.
  • Drive execution, own accountability and identify next steps without needing close direction.
  • Bring structure to unclear or shifting initiatives where roles, ownership or the path forward are not yet defined.
  • Work with the head of the Business Transformation & Special Projects team to build and mature the operating framework.
  • Set practical, scalable project management and transformation standards for work of any size.
  • Develop and refine templates, tools and repeatable methods for intake, scoping, planning, governance, status reporting, risk, requirements, process documentation, readiness and closeout.
  • Find ways to simplify, standardize or automate project tracking and reporting.
  • Use lessons from active initiatives to improve team practices.
  • Build a solid working knowledge of US Proxy, Corporate Actions and related operational processes, technology workflows, systems and controls.
  • Learn enough of the wider business to understand the context and impact of your initiatives.
  • Spot improvement opportunities beyond your own project or assignment.

Requirements

  • 5+ years of hands-on complex project management, including leading projects independently from initiation through completion.
  • A track record of owning projects with little existing structure and working out how to execute them.
  • Experience leading cross-functional initiatives with business, operations, technology, product or other enterprise stakeholders.
  • Strong experience managing project plans, milestones, dependencies, risks, issues, actions and status reporting.
  • Experience in business process analysis, requirements gathering, process improvement, transformation or implementation.
  • Proven ability to manage several priorities, influence stakeholders and drive execution in a matrixed organization.
  • Strong analytical, organizational, problem-solving and communication skills.
  • Proven ability to work independently, use sound judgment and identify next steps on your own.
  • Preferred: experience within financial services.
  • Preferred: exposure to Proxy, Corporate Actions, custody, issuer services, securities processing or similar environments.
  • Preferred: PMP or comparable project management certification, though not required.
  • Preferred: experience developing or improving project management standards, templates or governance practices.
  • Preferred: strong proficiency in Microsoft Excel and PowerPoint, and experience with project management tools.
  • Preferred: experience with process mapping, current-state and future-state analysis, requirements gathering, testing and implementation planning.
  • Preferred: exposure to automation, workflow modernization or technology-enabled process improvement.
